The Procurement Assistant supports the implementation, coordination, and monitoring of procurement activities across projects managed by Cybastion UK, ensuring all procurement processes are conducted efficiently, transparently, and in compliance with Cybastion Group procurement policies, internal controls, and applicable donor regulations. Reporting to the Operations Director, this role works closely with project teams, suppliers, and international stakeholders on internationally funded (including UKEF-funded) projects.

What this role is, and isn't. This is not a purely transactional purchasing role. Procurement accuracy and documentation directly affect Cybastion UK's compliance standing with donor institutions and auditors, so gaps here carry consequences beyond the immediate transaction. The right person combines meticulous process discipline with the ability to keep multiple procurement actions moving accurately and on time under pressure.

What you will build

  • Support the Operations Director in planning and coordinating procurement activities, processing purchase requests, and preparing RFQs, RFPs, and Invitations to Tender.
  • Monitor procurement workflows and assist in organizing bid openings, evaluations, and procurement committee meetings.
  • Maintain and update the supplier database, conduct supplier due diligence, and support prequalification and performance evaluation processes.
  • Prepare and track purchase orders and procurement agreements, and monitor contract execution, delivery schedules, and compliance with contractual obligations.
  • Ensure procurement activities comply with Cybastion Group policies and donor requirements (including UKEF-funded project standards), and support internal and external audits with accurate documentation.
  • Support project teams in preparing procurement plans and schedules, forecasting requirements, and identifying and reporting procurement risks.
  • Prepare procurement status reports, maintain tracking tools and dashboards, and ensure proper electronic and physical archiving of procurement records.

Who we are looking for

Non-negotiable cultural fit: The Procurement Assistant is the day-to-day guardian of Cybastion UK's procurement integrity, keeping purchase orders, supplier files, and donor compliance moving accurately and on time. This person combines meticulous process discipline with the diplomatic skill to work across project teams, suppliers, and donor stakeholders — delivering consistent accuracy without constant oversight, and treating discretion and integrity as non-negotiable. Profiles that cut corners on documentation or lose track of detail under pressure will not succeed in this environment.

The ideal candidate holds a Bachelor's degree in Procurement, Supply Chain Management, Business Administration, Logistics, Economics, or a related field, and brings 2 to 5 years of experience in procurement, purchasing, supply chain, or contract administration, with a sound understanding of procurement principles and contract administration. Experience working on internationally funded projects, and familiarity with public procurement regulations and donor-funded procurement practices, are highly desirable. Strong proficiency in Microsoft Office (especially Excel and Word), effective communication and interpersonal skills in a multicultural environment, and a high level of integrity, attention to detail, and analytical ability round out the profile, along with fluency in English (French an asset for coordination with the wider Cybastion group).
